Microsoft Excel is a sophisticated spreadsheet editor designed for data organization and computation.

It is available across various platforms, including Windows, macOS, Android, iOS, and iPadOS. As a core component of the Microsoft 365 and Microsoft Office suites, it serves as a vital tool for mathematical and statistical analysis. Beyond simple lists, Excel allows users to perform complex calculations and create visual representations of information. It can even be transformed into a decision support system (DSS), which acts like a custom application to provide answers and reports based on user input.

At its core, Excel operates using a structured grid of cells. These cells are organized into numbered rows and letter-named columns.

Users input data into these cells to perform arithmetic operations and more complex mathematical tasks. To manage large amounts of information, Excel provides a tool called a PivotTable. A PivotTable simplifies massive data sets by using specific fields to allow for different perspectives on the data. Additionally, Excel can generate various visual displays, such as line graphs, histograms, and charts.

Excel's power comes from its extensive library of built-in functions. These are pre-set formulas used to solve specific problems in fields like engineering, finance, or statistics. For example, Excel 2016 includes 484 different functions, with 360 of those existing prior to the 2010 version. Microsoft organizes these into 14 distinct categories. Users can also use specialized add-ins to expand these capabilities. The Analysis ToolPak provides tools for statistical and engineering analysis, such as regression analysis. The Solver Add-In is used for optimization and solving equations.

For advanced users, Excel offers programming capabilities through Visual Basic for Applications, or VBA.

VBA is a dialect of the Visual Basic language that allows for the automation of repetitive tasks and the creation of custom functions. Programmers can use the Visual Basic Editor (VBE) to write, debug, and organize their code. While some users use the Macro Recorder to capture and repeat actions, professional programmers often write subroutines manually for better efficiency. This programming allows Excel to perform highly complex tasks, such as solving differential equations in mathematical physics. In 2023, Microsoft expanded these capabilities by announcing direct support for the Python programming language.

The history of Excel shows a significant evolution in how it handles automation. In its earliest versions, users wrote programs using a macro language called XLM. These statements used formula syntax and were stored in special macro sheets. Starting with version 5.0, Excel shifted to using VBA as its default macro language. Although Microsoft now discourages the use of the older XLM, all modern versions, including Excel 2021, can still run it. The software has also seen changes in its availability for different systems; for instance, VBA was briefly removed from Mac Excel 2008 before being restored in the 2011 version.

The scale of Excel has grown immensely since its development began in 1985.

Early versions, specifically up to version 7.0, were limited to a dataset of only 16,384 rows. Versions 8.0 through 11.0 increased this capacity to 64,000 rows and 256 columns. Modern versions, such as 12.0 and the current 16.x series, can handle over 1,000,000 rows and 16,384 columns.

This growth allows the software to process much larger and more complex datasets than was possible in the early decades of computing.

Managing these large datasets also required changes in how files are saved. Before 2007, Excel primarily used a proprietary binary file format known as .XLS. In 2007, Microsoft introduced the Office Open XML format, which uses the .XLSX extension. This new format is based on XML, a text-based way of organizing data, and it helps reduce file sizes. While modern versions focus on these XML-based formats, they often remain backward-compatible with older binary formats and other types like CSV or DBF. This ensures that users can still access and share data across different generations of software.
